Documents: Improving support for customer defined fields

Tailoring data fields to meeting the unique requirements of clients is essential when delivering our document management solution to wide variety of industries. "Properties" was introduced in Omega 365 late last year in some of our key registers. Now it is also available in the Document register.

Introduction

Customer Defined Fields are customizable data fields within a software solution that allow customers to define and store information specific to their unique requirements. Properties can be defined per customer, and can be viewed in the grid, and can be filtered and searched on in basically the same way as standard fields.

A property can be a text field, number, date, date + time, boolean (true/false).

Properties can be used in different apps, including workflows and risk management, as is now also available for the document register.

Defining and using Properties

Properties can be added by users with elevated access, as it is important to have good control of the properties used. 

Example: If you need a field for tracking the complexity of a document or drawing:

  1. Check if the property "Complexity" is available in the System Properties app. If not available, add it
  2. Make it available in the Documents register, by adding the documents view to the "Views" section
  3. Add any relevant translations (e.g. to Spanish, Norwegian)
  4. Populate relevant lookup values (if applicable)

The new property will then appear in the document details app, under the  "Profil" tab page.

The new property can also be added to the grid, and be updateable directly from the grid as well.

Summary

With Properties one can obtain the flexibility often required to satisfy customer needs. It does not require any coding / programming. The upgradeability is not broken, so one can be updated through the standard Omega 365 updates. Naturally, the standard user guides do not provide any information about the custom defined properties, so dedicated documentation may be required.
