The Project Is Temporary. The Asset Data Is Not.

Why project information must remain connected to the asset throughout operations, maintenance and future modifications.

A project management system should do more than improve delivery performance. When project and asset management are native parts of the same platform, the information created during construction remains available to operations, including information nobody thought to include in the formal handover package.

Capital projects are temporary, while the assets may operate for 30, 40 or 50 years. Yet most digital strategies we see focus on the project deadline: control cost, manage schedule, complete construction and hand over the required documentation. These are important outcomes, but if the system only helps the project reach handover, it has delivered only part of its potential value.

The larger opportunity is to create an information chain that continues into operations and through every maintenance activity and modification project that follows.

Handover is necessary, but it is not enough

Every major project defines information that must be handed over: asset registers, vendor manuals, data sheets, certificates, maintenance procedures, commissioning records and as-built drawings. A structured handover process is essential. Requirements should be defined per equipment type and connected to each asset early, so missing information is identified while the people who created it are still available.

But even a well-managed handover transfers only the information the organization knew it would need at that time. Five months or five years later, a technician may need the engineering assessment behind a design decision. A modification team may need an old technical query, inspection photograph, supplier clarification or rejected alternative. It may never have been classified as a handover requirement, but it may be exactly what is needed to plan work safely and avoid repeating an investigation.

In a traditional setup, operations searches archived project systems, shared drives, email and contractor records. Sometimes the information is found; sometimes it is recreated. The problem is often not that the data was never created, but that the digital chain was broken.

Operations should inherit the complete working record

When project and asset management are native parts of the same platform, operations do not receive only a package at the end. They inherit a governed record built throughout delivery. The asset is already connected to its documents, tags, technical data, BIM objects, inspections, punch items, commissioning history, risks, changes and decisions. Formal handover requirements are still verified, while the wider project context remains controlled, searchable and traceable for authorized users.

The same principle works in the other direction. During operation, inspections, work orders, failures, modifications and updated documentation continue to enrich the asset record. A later modification project starts with the current configuration and operational history, not a copied and already ageing dataset.

Project delivery and asset information should form one controlled information chain—not two systems connected only at handover.

Specialist systems still have a clear role. Engineering design tools, detailed scheduling, finance and operational control systems should remain authoritative for the work they perform. The objective is not to force everything into one application, but to maintain one governed project-and-asset record with clear ownership and integrations around it.

The time is significant

Industry research confirms the scale of the data problem. McKinsey reports that frontline workers at many industrial companies spend less than 50% of their time with hands on tools; finding parts and information, waiting for access, preparing job packages and documenting work consume much of the rest.

They have also found that well designed digital work management can improve maintenance productivity by 15–30%. These figures are benchmarks, not an automatic result from installing software. The value depends on connected data, practical workflows and adoption by the people doing the work.

EY’s 2025 survey of asset-intensive Nordic companies found that 20% considered themselves fully capable of using technology to improve asset-management activities and business performance.

Gartner’s 2026 Market Guide for Enterprise Asset Management Software points in the same direction. It describes data access, quality and integration as foundations for predictive and prescriptive maintenance, and places EAM within digital threads and digital twins that support full life cycle value. Gartner forecasts that by 2028, 75% of CIOs in asset-intensive industries will see AI enabled EAM as their main contributor to maintenance productivity. AI makes continuity even more important, an assistant cannot explain an asset history or find an engineering decision if the underlying information is missing, duplicated or disconnected.
