Omega 365 Document Management is evolving as a central pillar of our platform, addressing growing documentation complexities with scalable, intuitive solutions. Key updates include role-based distribution, Various AI tools, and we will support a hybrid solution ensuring that the Pims and Omega 365 Document Management can operate seamlessly side by side.

In Omega 365’s broader vision for delivering world-class project and operations software, Document Management plays a central role. As companies face growing complexity in managing documentation across large teams and projects, we continue to evolve our platform to ensure it remains powerful, scalable, and intuitive.

Strategic Direction

As part of our long-term strategy, we are committed to growing and refining Omega 365 Document Management as a key pillar of the platform. Here’s how we’re aligning our efforts:

We will:

  • Offer the Omega 365 Document Management product for selected Pims clients through our hybrid solution. This will provide an easier future transition to a common Omega 365 Core based solution at the client’s own speed.

  • Build high competence and good methodology for implementation of Omega 365 Document Management in an enterprise organization, focusing on user satisfaction and value recognition. This will also enable us to create more value for existing clients.

  • Continue to focus on our integrated and cohesive platform where Document Management is one of many core modules.


Seamless Experience Through the Hybrid Solution

Our hybrid solution ensures that existing Pims R4 and R5 products can work smoothly alongside Omega 365 Document Management. Users won’t need to log into multiple platforms—thanks to a shared authentication setup, credentials from Pims or Omega 365 are automatically reused.

The integration goes further than just access. Through the established Linked Items concept, documents managed in Omega 365 can be referenced directly in Pims modules. Relevant data from Pims R4 and R5 can also be made available and linked to documents in Omega 365, enabling a seamless cross-platform experience without disruption to established workflows.


Improvements Based on Feedback

Over the past months, we’ve delivered several enhancements based on:

  • Feedback from major enterprise implementations

  • A comprehensive review of capabilities compared to our legacy platforms

  • Requests that had previously proven difficult to implement in older systems

Role-Based Distribution Setup
Documents can now be routed to predefined roles for review and approval—reducing admin load and improving scalability.


Improved Review of Word Documents
The document review experience for Word files has been overhauled—making it faster and more seamless to provide comments, suggestions, and approvals directly within the system.

Import distribution setup from Excel
Users can now configure and import distribution lists directly from Excel, streamlining project setup and updates.

Improved markup tool for review of PDF documents
We are transition into using Apryse for review of PDF documents, bringing a more robust, flexible, and consistent experience across all PDF-based workflows.

Optional Consolidator Role
A new Consolidator role has been introduced to support workflows that require someone to gather and refine input from multiple reviewers.

AI-Driven Tagging and Metadata
With AI now part of Omega 365 Document Management, documents are automatically enriched with tags and metadata, improving classification and findability.

What’s Next: On the Roadmap

Here’s a preview of what’s currently under development:

  • Out-of-Office Support – Automatically delegate tasks when users are unavailable

  • Internal Collaboration Enhancements – Structured workflows for group editing in draft phases

  • Redlines Follow-Up – Better tools for tracking feedback and adjustments during document reviews

  • Document Disposition – Manage retention rules and automate lifecycle handling

  • Improved Batch Imports – More control with separate insert and update actions

  • Management of confidential content – Enhanced tools for managing confidential content and oversight

  • Advanced PDF Comparison – Visual and semantic comparisons powered by Apryse

  • Batch Revisions & File Imports – Streamline handling of multiple files and revisions

  • Enhanced Attachment Management – Track attachment types, version history, and check-in/check-out processes
