A More Streamlined Workflow Experience
A More Focused Layout
Workflow app in Omega 365 has been refined with a cleaner layout, smarter automation, and flexible content options — making it easier to tailor workflows to real work processes.
At the top, you now get a visual overview of all workflow steps and can instantly see where you are in the process. Each step is clearly named, making navigation and progress tracking easier — especially in longer workflows.
The new step-numbering system ensures that steps are numbered chronologically within each workflow instance, so the sequence is always clear and intuitive. The timeline at the top also highlights step names better, improving the overall readability.
The layout has been adjusted to make key information easier to find and update.
On the right-hand side, you’ll now find three streamlined tab pages:
- Current Step: Displays the active workflow step along with sharing and access information.
- More Info: Includes additional workflow data and related details.
- Preview: Preview attachments; including files, checklists and objects.
On the left side, you can edit important workflow fields directly, such as the title, description, and severity level — making updates quicker and more natural.

Flexible Content and Better Control
Workflows in Omega 365 have evolved into flexible workspaces that bring together all relevant information, tasks, and content in one place.
You can include configurable content types such as:
- Material lists – track what’s needed, delivered, or pending directly within the process.
- Risk registers – link and manage risks as part of the same workflow.
- Shared folders – connect documents, drawings, or photos without leaving the app.
This flexibility opens up entirely new ways of using workflows. It allows teams to adapt processes to real work situations — whether managing modifications, handling completion activities, or coordinating document updates.
The result: fewer apps to switch between, better context, and smoother collaboration. This concept has already been available for some time, and is widely used, in our meetings app - read more about how you can prepare and execute meetings more efficiently here.
Configuration: Easier and More Powerful
Setting up process fields is now more straightforward — and more flexible than before:
- Choose whether a field appears in the main section or under More Info.
- Control field width with a single click — half width (default) or full width.
- To remove a field, simply delete it (no more need for Visible=false).
- Decide whether a field belongs in the FormView or PropertyGrid using the UI Component setting.
- Use Preview in the header to review the process steps at any time.
Built-in AI Assistance
AI has already become a natural part of the Workflow experience in Omega 365 — helping users work smarter, faster, and with better insight.
With “Suggest with AI”, you can instantly generate or refine text in workflow fields, reducing repetitive typing and promoting more consistent communication across your organization.
Inside grids, the AI assistant enables interactive use of data — analyze or summarize information, identify patterns, or even register new entries using natural language.

Smarter Automation
Lately, we have also improved autmoation: To make workflows even more efficient, two new automation options are now available on process steps: Verification Approved Next Step and Verification Rejected Next Step.
When these are defined and linked to verification roles, workflows can automatically move forward based on the outcome:
- If one verifier rejects, the workflow follows the rejection path.
- If all approve, it continues automatically to the next step.
This ensures faster and more consistent handling of verifications — reducing manual follow-up.
A Unified and Streamlined Approach
The different workflow user interfaces are now being consolidated into one unified app, making the experience more consistent and easier to maintain across all projects.
Whether it’s a risk mitigation measure, a technical query, or onboarding a new co-worker, the core functionality is the same — providing a familiar and efficient experience.
What differs is the information collected and the process defined, which can be fully tailored to fit each organization’s specific needs.
Deployment Plan
Some of the updates are already deployed to our clients, however consolidating the different workflow apps and ensuring that all the users can benefit from the latest updates, include the last layout updates is the next step. This will happen Mid October, with good assistance from our Omega-experts
